📘 About the W-9 Form Helper

Form W-9, Request for Taxpayer Identification Number and Certification, is what US businesses ask contractors, freelancers and vendors to complete before paying them, so they can file Form 1099. This helper walks through every line of the current March 2024 revision, explains what to put there and checks for the common mistakes — the wrong classification for an LLC, a missing name, or a TIN that is not 9 digits.

It prints a neat summary of your entries to copy onto the official form from irs.gov, which you then sign and date. Nothing is uploaded: your SSN or EIN never leaves your browser, and you can hide all but the last four digits on the printout.

💡 How to use the W-9 Form Helper

  • Enter your name exactly as on your tax return (line 1) and any business or disregarded-entity name (line 2).
  • Choose your federal tax classification; LLCs also choose C, S or P.
  • Leave exemptions blank unless you are an exempt payee (most individuals are not).
  • Enter your address and your SSN or EIN.
  • Print your details, then complete, sign and date the official W-9 from irs.gov and give it to the requester.

💡 Where to get the official form

  • Download the current Form W-9 (Rev. March 2024) and its instructions from irs.gov (search "Form W-9").
  • Non-US persons use Form W-8BEN (individuals) or W-8BEN-E (entities) instead.

❓ Frequently asked questions

Who needs to fill out a W-9?

US persons (citizens, residents, US companies) who will be paid by a business that must report the payment — typically freelancers, contractors, landlords and vendors.

Do I send the W-9 to the IRS?

No. Give it to the person or company that asked for it. They keep it and use your TIN on Form 1099.

Should a single-member LLC use its EIN?

A single-member LLC that is a disregarded entity puts the owner's name on line 1, the LLC name on line 2, checks the owner's classification and normally uses the owner's SSN or EIN.

Is it safe to give my SSN on a W-9?

Only to a business that really pays you. Use an EIN instead where you can, and send the form securely — never by plain email to someone you don't know.
